Q. What do I need to know before renting equipment?

A.  When it comes to the equipment you might need for your ceremony and reception, it’s a good idea to shop around at your local rental companies.  You will find everything from tables, chairs, table settings, serving pieces, cake stands, linens, tents, sound and music systems to gazebos, tents, arches, aisle runners, candelabras, and silk plants. and kneeling benches. IF you rent the majority or your equipment at one place, you may be able to get a discount.

If you’re planning a summer or holiday vow renewal, you may want to make your reservations six months ahead of time to ensure you get everything on your list.  If you’re holding your vow renewal in other seasons, plan to make your reservations about three months in advance.  When you make your reservation, you will most likely need to pay a nonrefundable deposit of 25-50% of the total rental package price. The balance will be due shortly before you take delivery of the items.

When selecting a vendor, try to get a referral from someone who has fairly recently rented similar equipment.  It’s also a good idea to do a basic background check on the company with the local  Better Business Bureau and/or American Rental Association (ARA).

Before placing your order, ask to see samples of the actual items from their inventory to make sure they are what you want and of the quality you expect.  Make sure you get the rental contract in writing.

Finally, make sure you inspect the items before signing off on the delivery to ensure you received the correct quantity and that everything is in good condition.
